1. Introduction
qoorr ("we", "our", or "us") provides a gym management platform used by fitness businesses ("Gyms"), their staff, members, guests, and other contacts, including customer relationship and communications tools such as qoorr Connect. This Privacy Policy explains how we collect, use, disclose, and protect personal information through our websites, mobile applications, web applications, kiosks, connected communications services, and related services (collectively, the "Services").
For information maintained by a Gym through the Services, the Gym generally decides why and how that information is used, and qoorr processes it on the Gym's behalf. For information qoorr collects directly for purposes such as operating our website, securing accounts, providing support, and complying with law, qoorr may determine how that information is used.
A Gym's signed agreement with qoorr governs the Gym's business relationship and applicable data-processing obligations. This Privacy Policy does not modify that agreement.
2. Information We Collect
a. Contact and Account Information
- Name, address, email address, and phone number
- Account credentials and authentication information
- Profile details, including date of birth and photos you choose to provide
- Communications with qoorr or your Gym through the Services
b. Gym, Membership, and Activity Information
- Gym affiliation, membership details, status, and agreements
- Bookings, attendance, appointments, and class participation
- Workout results, programming, performance, and other fitness-related information
- Purchases, charges, refunds, and transaction records
c. Device and Usage Information
- Device type, operating system, browser, and application version
- IP address, access times, log data, and interactions with the Services
- Cookies, local storage, and similar technologies used for sign-in, preferences, security, and service performance
d. Payment Information
Payments to Gyms are processed through third-party payment providers, such as Stripe. qoorr may receive payment method details such as card brand, last four digits, expiration date, payment status, and transaction identifiers, but does not store full payment card or bank account numbers.
e. Connected Communication Platforms
When a Gym connects a supported communication platform, such as Facebook or Instagram, qoorr may receive information made available through that connection, including account, Page, or profile identifiers, names and profile information, messages and conversation content, message timestamps and related metadata, and access tokens or permissions needed to maintain the connection. Information received from Meta through these integrations is referred to in this Policy as “Meta Platform Data.”
f. Automated Response Drafting
qoorr Connect uses artificial intelligence to suggest replies to incoming messages, which involves sending conversation content to a third-party AI provider. Before sending, we replace names, email addresses, and phone numbers we can identify with placeholders, so the provider does not receive those details. Our agreement with the provider prohibits using this information to train their models. The provider deletes this content within 30 days, except where content is flagged for safety review or retention is required by law.
3. How We Use Information
- Provide, operate, maintain, and support the Services
- Create and secure accounts and authenticate users
- Carry out the Gym's instructions and help the Gym manage memberships, bookings, attendance, communications, and transactions
- Provide qoorr Connect features, including syncing conversations, maintaining contact histories, enabling Gym staff to respond, and supporting response-drafting features
- Process Meta Platform Data on behalf of and at the direction of the Gym that connected the relevant account, and not for unrelated purposes or for another Gym
- Send service messages, confirmations, security notices, and support responses
- Monitor performance, troubleshoot problems, and improve the Services
- Detect and prevent fraud, abuse, security incidents, and unlawful activity
- Enforce applicable agreements and comply with legal obligations
4. How We Share Information
a. With Your Gym
Information connected to your membership, employment, visits, purchases, communications, or other interactions with a Gym is available to that Gym and its authorized staff so they can provide and manage their services.
b. Service Providers
We share information with providers that help us host, secure, monitor, communicate through, support, provide artificial-intelligence response-drafting features, and process transactions for the Services. They may use the information only as necessary to provide services to qoorr or the Gym, subject to applicable agreements, platform requirements, and law.
c. At Your Direction
We may share information when you or your Gym direct us to do so, including when connecting the Services to another product or provider.
d. Legal, Safety, and Business Reasons
We may disclose information when reasonably necessary to comply with law, respond to legal process, protect users or the Services, investigate fraud or security issues, or complete a merger, financing, acquisition, reorganization, or sale of assets.
qoorr does not sell personal information, including Meta Platform Data, or use Meta Platform Data for advertising or profiling unrelated to providing the Services.
5. Text Messages
If you opt in, qoorr may send text messages to the mobile number on your profile. These are account and service messages: onboarding and migration updates, support follow-up, account access and security alerts, subscription and billing notices, payment processing, payout and verification issues, and important service, maintenance and incident updates.
You choose whether to receive them. Consent is not a condition of purchase, and you can withdraw it at any time — either by turning text messages off in your qoorr profile, or by replying STOP to any message. Reply HELP to any message for assistance, or contact us at privacy@qoorr.com .
Message frequency may vary. Standard message and data rates may apply.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors who support our service, such as messaging providers, is permitted solely to deliver the messages you have requested. Text messaging originator opt-in data and consent are excluded from every other category of information sharing described in this policy, and will not be shared with any third party.
6. Data Retention
We retain personal information for as long as reasonably necessary to provide the Services, follow a Gym's instructions, maintain security and business records, resolve disputes, enforce agreements, and comply with legal, tax, accounting, and regulatory obligations. Retention periods vary based on the type of information and why it is maintained. Information may remain in backups for a limited period after deletion from active systems.
Meta Platform Data is retained only as long as reasonably necessary to provide the connected features. We delete or de-identify Meta Platform Data when it is no longer needed, when the applicable Gym or user requests deletion, or when the Gym no longer has an account with qoorr, except where limited retention is required by law or reasonably necessary for security or legal purposes.
7. Account and Data Deletion
You may request deletion of your qoorr login account within the mobile app under Settings → Delete Account, or by contacting privacy@qoorr.com.
- Your login and access to the Services will be deleted or disabled
- Deleting your qoorr login does not cancel a membership, appointment, purchase, contract, or payment obligation with a Gym
- Records controlled by your Gym may remain in the Gym's system as needed to manage its services, comply with law, or maintain legitimate business records
- Requests to delete or change Gym-controlled records should normally be directed to the Gym
- Some information may be retained where required or permitted by law
If your information was received through a Gym's connected Facebook or Instagram account, you may request deletion by contacting the Gym or emailing privacy@qoorr.com. Please identify the Gym and the Facebook or Instagram account or conversation involved so we can locate the relevant data. We will process valid requests and coordinate with the Gym where appropriate.
8. Your Privacy Rights
Depending on where you live and subject to applicable exceptions, you may have the right to request access to, correction of, deletion of, or a copy of your personal information, and to opt out of certain uses of personal information.
For information maintained by a Gym, please submit your request to that Gym. qoorr will assist the Gym as required. For information controlled directly by qoorr, or if you are unsure where to send a request, contact privacy@qoorr.com.
We may need to verify your identity before completing a request. If a request made directly to qoorr is denied, you may appeal the decision by replying to our response. qoorr does not discriminate against users for exercising applicable privacy rights.
9. Children's Privacy
The Services are not directed to children under 13 for independent use. A Gym may maintain information about a minor or provide access through an account created or authorized by a parent or legal guardian.
Where required, the Gym and qoorr must receive appropriate parental or guardian authorization before personal information is collected directly from a child under 13. We do not knowingly permit a child under 13 to independently create an account or submit personal information without the required authorization.
A parent or guardian who believes a child provided personal information without appropriate authorization should contact the Gym or privacy@qoorr.com so the information can be reviewed and, where appropriate, deleted or restricted.
10. Shared Devices and Kiosks
Gyms may provide shared devices, such as front-desk tablets or check-in kiosks. Information entered or displayed on a shared device may be visible in a public or semi-public setting.
Gyms are responsible for the physical security, placement, and appropriate use of their devices. Users should avoid displaying unnecessary personal information and should complete or close their session when prompted.
11. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. Payment credentials are handled by payment providers that maintain their own security and compliance programs. However, no system or method of transmission is completely secure.
12. Third-Party Services
The Services may link to or integrate with third-party services, including Facebook and Instagram. Their privacy practices are governed by their own policies, and this Privacy Policy does not apply to information they collect for their own purposes. Our processing of Meta Platform Data is also subject to applicable Meta Platform Terms and policies.
13. Scope
This Privacy Policy applies to qoorr's websites, mobile applications, web applications, kiosks, and related services. It does not govern a Gym's independent privacy practices outside the qoorr platform.
14. Changes to This Policy
We may update this Privacy Policy from time to time. We will update the "Last updated" date and provide additional notice when required by law or when changes are material.
